We've been planning professional events for more than 20 years, and love to share the knowledge gained from our experience. Here are just a few pieces of wisdom we've learned over the years:
Check with other industry organizations for their meeting dates in order to avoid a conflict that could reduce your event's attendance.- Always review your invoices with a fine-tooth comb. To help avoid erroneous charges, ask to see your charges at the end of each day.
- Insist that the venue and your meeting suppliers only recognize “authorized signers” to approve the purchase of add-ons during the event.
- Lock in food & beverage prices when you negotiate the contract.
- Negotiate complimentary services up front and get them written into the contract...then sign the contract.
- The planners who get surprised are most often the inexperienced ones who don't understand hotel operations.
- Avoid surprises by prohibiting charges that have not been spelled out, accepted and written into the contract in advance — write this clause into your contract.
- Review "no-show" lists from your group housing coordinator daily.
- The devil is in the details — big, small and in-between...no detail is too small.
